Client Service Coordinator

Position Overview
As a Client Service Coordinator (CSC), your responsibility is to drive the flow of the hospital by coordinating patient care in a friendly and efficient manner that ensures excellent service to our clients and patients. You will report directly to the Hospital Manager (HM), with accountability to the Medical Director (MD). Your work will directly support the HM – MD partnership in support of hospital goals.

Responsibilities
A CSC is responsible for the following tasks. This list may be revised at any time and additional duties not listed here may be assigned as needed.

Client Management:

  • Schedule appointments, surgeries, and procedures
  • Register new clients
  • Check clients in and out for appointments, surgeries, and procedures
  • Confirm patient appointments
  • Prepare next day surgery and treatment documents

Client Service and Education:

  • Provide exemplary communication and customer service
  • Conduct follow up correspondence
  • Receive and process client requests and prescription refill requests

Clerical Service:

  • Maintain accurate medical records
  • Answer and direct multiple phone lines
  • Respond to emails in a professional, timely manner
  • Prepare and process scans and referral reports
  • Ensure cleanliness of lobby, exam rooms, and client hospitality station
  • Provide cleaning and maintenance of office equipment
  • Perform other duties as assigned

Professional Experience / Skills

  • 2+ years of reception and customer service experience or open to learning
  • Strong communication and multitasking skills
  • Comfortable with computers and other technology
  • Experience with EzyVet software is beneficial
  • Veterinary clinic experience is beneficial, but we are always willing to train the right person

Responsibilities

Client Service:

  • Check clients in and out for appointments, surgeries, and procedures
  • Foster an educational experience for the client
  • Provide exemplary communication and customer service
  • Explain discharge instructions to clients after appointments, surgeries, and procedures
  • Conduct follow up correspondence

Technical Service:

  • Manage outpatient exam flow, including patient restraint
  • Monitor anesthesia for and assist doctors during surgeries
  • Provide necessary care and treatments for patients
  • Prepare testing for in-house or referral laboratory properly
  • Perform venipuncture and IV catheter placement
  • Verify and fill patient prescriptions
  • Provide appropriate urgent care during emergencies
  • Provide cleaning and maintenance for medical and office equipment

Clerical Service:

  • Maintain accurate medical records
  • Answer and direct multiple phone lines
  • Respond to Mountain Star email in a professional, timely manner
  • Prepare and process faxes, scans, and referral reports
  • Learn, use, and improve estimates, fee schedules, and other operational documents
  • Ensure cleanliness of exam rooms, surgical areas, and treatment area
  • Perform other duties as assigned

Professional Experience / Skills

  • 3+ years of technician experience preferred
  • Comfortable with anesthesia monitoring
  • Consistent phlebotomy skills
  • Comfortable with computers and other technology
  • Experience with EzyVet software is beneficial
